Clikit Media provides Email Signature, Email Marketing, Email Security, Email Archiving and SMS Marketing software, accompanied by services and support. We respect your privacy and take the protection of personal data/information very seriously. Our commitment to safeguard data and privacy is an imperative and integrated part of our business.

The purpose of this policy is to describe the way that we collect, store, use, and protect data that can be associated with you or another specific natural or juristic person and can be used to identify you or that person (personal data / information). We may instruct third party operators from time to time to undertake certain processing activities relating to personal information.

This policy applies to you if you are:

  • a visitor to our website;
  • a prospect who contacts us by phone, email or any other communication channels or
  • a customer who has ordered the goods or services that we provide.

If you use our services, personal data (Order Information) is required to fulfil the requirements of a contractual or service relationship, which may exist between you and our organization.

This Order Information may include:

The software that we utilise to manage email signatures within our business email allows us, and other Users/Clients of the email signature software product offered by us, to help track interest in features through interactive branding, in order to further improve services with pertinent content. Users and Recipients of emails are businesses who engage with each other and already have an established connection and route of communication.

Apart from normal information needed to send emails (such as an email address), the following data is stored for analytical purposes only;

  • your name and surname;
  • IP address
  • Time of click
  • URL served – i.e. where the branding redirects the recipient as defined by the Client.

The Software also allows for depersonalisation of such data if requested, in which case, the information stored is limited to:

  • your name and surname;
  • Domain name (e.g. Gmail, Yahoo, Hotmail)
  • Time of click
  • URL served – i.e. where the branding redirects the recipient as defined by the Client
3. HOW DO WE USE YOUR PERSONAL INFORMATION?

3.1 Order Information

We use the Order Information that we collect generally to fulfil any orders placed through the Site (including processing your payment information and providing you with invoices and/or order confirmations).

Additionally, we use this Order Information to: Communicate with you;

  • Communicate with you;
  • Screen our orders for potential risk or fraud; an
  • When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

Clikit media makes use of Party Service Providers have been assessed having rigorous safety environments, ISO certifications and stringent breach management and prevention procedures. In general, the third-party providers used by us will only collect, use, and disclose your information to the extent necessary to allow them to perform the services they provide. Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights. 5. DATA RETENTION & SECURITY

We limit the amount of personal data collected only to what is fit for the purpose. We restrict, secure and control all of our information assets against unauthorised access, damage, loss or destruction; whether physical or electronic. We authorize access to personal data only for those employees who require it to fulfil their job responsibilities.

We retain personal data for a period of five years to respond to your requests and for longer periods only if required by law. If we retain your personal data for historical or statistical purposes, we ensure that the personal data cannot be used further. While in our possession, together with your assistance, we try to maintain the accuracy of your personal data.

In the event of a data breach, we will notify you within 72 hours of the breach and the steps taken to resolve the issue.

In South Africa, the Protection of Personal Information Act (POPIA) impacts technology processes and the manner in which employees process personal information. The fundamental principles of POPIA are set out below:
